K-12 Nubian Parent-Student-Teacher Covenant outlines
expectations for all in the village

     By now, all parents and students should have signed the K-12 Nubian Parent-Student-
Teacher Covenant.  The first opportunity to sign the covenant was afforded to parents and
students during the Annual Parent Orientation that was conducted at the school on Tuesday,
August 29, 2006.  As outlined in the covenant, at least one adult representative from each
student’s family (mother, father, grandfather, grandmother, aunt, uncle, cousin, etc.) will be
expected to volunteer a minimum of 2 hours of their time in the building each month to
support the academic goals of the school.  The adult representative will be required to sign in
at the office and receive his/her identification sticker before being allowed to go to the student’
s classroom.  Teachers will document each family’s volunteer time and will keep the records
of participation in their respective classrooms.  

Daily student attendance/tardiness to be monitored
     
     All students in the village are expected to arrive at school on time (no tardiness) and attend
school every day.  This expectation is supported by state law.  By honoring the state’s
attendance requirements you can help the school meet its Attendance goal of 96%.  School
officially begins with an opening ceremony in the auditorium at 9:30 a.m., where attendance is
taken and the guiding Africentric principles of Ma’at and the Nguzo Saba are reaffirmed.  
Classroom instruction begins at 10:00 a.m.  Students who miss 3 or more consecutive
school days without legitimate excuses will be contacted by Mama Marvella Allen, School
Social Worker, or Mama Patricia Barrett, School Secretary.  In cases of chronic absences
and/or tardiness, the district will require parents to address this problem with the authorities
in juvenile court.


Count Week: October 2 – 6, 2006 quantifies federal dollars that
fund public schools
     
     Count Week is how state and federal dollars are calculated to fund public schools.  There
will be 2 Count Weeks for the 2006-2007 academic school year.  The first Count Week will be
October 2 – 6, 2006, and the second Count Week is February 5 – 9, 2007.  Count Week is the
week the district will expect for EVERY Columbus Public Schools (CPS) student to be in
school EVERY day!  Parents must provide students who are absent with a note that indicates
the reason for the absence.  All attendance notes will be kept on file in the school office.  The
school secretary and the school social worker will make every effort to contact the families of
students that do not attend school during Count Week and do not provide written excuses for
their children’s absences.          

Third graders to take first administration of Ohio’s Reading
Achievement Test on October 3, 2006
     
     The Ohio’s Reading Achievement Test will be administered to all 3rd grade students on
Tuesday, October 3, 2006.  All 3rd grade students should receive at least 8 to 10 hours of
sleep on the night before they take the test.  Students will be allotted 2 and ½ hours to
complete this test.  During the test, students must respond to multiple-choice, open ended
and extended response questions.  Nutritional snacks will be provided to the students before
they take the test.  The test will begin at 10:00 a.m.  The Ohio Department of Education (ODE)
will provide parents with the students’ test results before the Thanksgiving holiday break.  
Third grade students will receive 2 additional times to pass this test: on April 30, 2007, and on
July 10, 2007 during summer school.  The student’s highest score on the test will be his/her
officially recorded score.

Plans finalized to prepare 4th/5th graders to pass Ohio’s
Reading Achievement Test in spring 2007   
     
     All 4th and 5th grade students will be administered an Ohio’s Reading Achievement
Practice Test on Tuesday, October 3, 2006.  The staff will access tests on-line that have been
previously administered by the ODE and copy them for practice with the 4th and 5th grade
students.  Fourth and 5th grade students will be given 2 and ½ hours to complete all portions
of the practice test.  The teachers will hand-grade the practice test and provide appropriate
intervention to the students.  Third and 4th grade students will take the Ohio’s Achievement
Reading Test on April 30, 2007.  The principal and the 3rd, 4th and 5th grade-level
instructional teams and support staff will conduct a Mandatory Seminar with parents on
Thursday, November 9, 2006, from 6:00 p.m. until 7:30 p.m. in the East Cafeteria, to review
the school wide plan to prepare the students to pass this test.  School funds will be used to
purchase the Ohio’s Reading Achievement Test Show What You Know Flash Cards.  The
flash cards will be provided to 4th and 5th grade parents during the seminar.  (Flash cards
have already been purchased and provided to 3rd grade parents.)  All parents of intermediate
grade-level students will be expected to practice with the cards with their children at home
throughout the school year.

Practice sessions organized to help students pass Ohio’s
Achievement Tests

     Practice sessions to help 3rd, 4th and 5th grade students pass the Ohio’s Achievement
Tests in spring 2007 have been organized.  The staff will use the ODE website to access
tests that have been administered to 3rd, 4th and 5th grade students in the past.  The tests
will be photocopied and used with the students.  Teachers will use the results from the test to
provide appropriate intervention to the students throughout the school year.  Fifth grade
students will take an Ohio’s Science Achievement Practice Test on Wednesday, October 4,
2006, and an Ohio’s Social Studies Achievement Practice Test on Thursday, October 5, 2006.  
Third, 4th and 5th grade students will take an Ohio’s Math Achievement Practice Test on
Tuesday, October 10, 2006.  All tests will promptly begin at 10:00 a.m.  Please make sure that
you send your student to school on time on the days the practice sessions are being
conducted.  
     Third, 4th and 5th grade students will take the Ohio’s Math Achievement Test on Tuesday,
May 1, 2007.  Fourth grade students will take the Ohio’s Writing Achievement Test on
Wednesday, May 2, 2007.  Fifth grade students will take the Ohio’s Science Achievement Test
on Wednesday, May 2, 2007, and the Ohio’s Social Studies Achievement Test on Thursday,
May 3, 2007.  All tests will promptly begin at 10:00 a.m.      
     
All School Improvement Plan and federal requirements for No
Child Left Behind law will be reviewed with parents during
Annual Elementary School Open House

     The Annual Elementary School Open House will be conducted on Wednesday, October 4,
2006, from 5:30 p.m. until 7:30 p.m. During the 1st part of the Open House, from 5:30 p.m.
until 6:00 p.m. in the school auditorium, the Elementary School principal will review with
parents the federal guidelines for the No Child Left Behind law, the academic progress of the
school from the previous year, and discuss the Smart Goals for the All School Improvement
Plan (ASIP) for 2006-2007.  In the 2nd portion of the Open House, classroom teachers will
conduct grade-level instructional team meetings to review with parents their specific
academic plans for maximizing student achievement in the village.  Parents will also learn
more about the role that they will be expected to play to help the school meet and/or exceed its
academic goals.  The kindergarten through 2nd grade teams will meet from 6:05 p.m. until 6:
40 p.m., and the 3rd through 5th grade teams will meet from 6:45 p.m. until 7:25 p.m.  Please

Interim reports for the 1st grading period will be provided to
parents during Annual Open House

     Parents will be required to pick up the interim report for the 1st grading period from their
student’s teacher during the Annual Elementary School Open House on Wednesday, October
4, 2006, from 5:30 p.m. until 7:30 p.m.  The reports will not be sent home.  Questions and/or
concerns about the interim reports should first be directed to the student’s teacher before
requesting a conference to discuss the student’s progress with the Elementary School
principal.

Elementary students to take school pictures
     
     School pictures will be taken for Elementary School students on Thursday, October 5,
2006 on the stage in the auditorium, beginning at 10:00 a.m.  Students will only be allowed to
take their pictures in the school uniform.  Inter-state Studios, Inc. is the company the school
has employed to take the photos.  All portrait orders will be PRE-PAID and must be received
before picture day.  A detailed flyer about the pre-paid school picture packages that will be
available for purchase will be provided to parents.  All students will be photographed for

Staff will conduct parent seminar on the action plan to prepare
students to pass Ohio’s Math Achievement Test
     
     A mandatory seminar for all 3rd, 4th and 5th grade parents will be conducted by the staff at
the school in the East Cafeteria on Thursday, October 12, 2006, from 6:00 p.m. until 7:30 p.m.  
The purpose for this required session with parents will be to review the school’s action plan
to prepare students to pass the Ohio’s Math Achievement Test on Tuesday, May 1, 2007.  
During the seminar each parent will be able to review his/her student’s Ohio’s Math
Achievement Practice Test results.  Show What You Know on Ohio’s Math Achievement Test
Flash Cards will be purchased by the school and provided to parents at the conclusion of the
seminar.  Parents will be expected to use the cards to conduct practice sessions with their
students so they will be better prepared to pass the Math test in May 2007.  

CAEC Village Council set to meet monthly                

     The CAEC Village Council will conduct its October 2006 General Membership meeting on
Thursday, October 19, 2006, from 6:30 p.m. until 8:00 p.m. in the East Cafeteria.  
Memberships are $5.00 per person.  The CAEC Village Council will meet on the 3rd Thursday
of each month throughout the school year.


No classes for students on Capital Day

     School will not be in session for Elementary School students on Friday, October 20, 2006.  
On this day, educators in the district will participate in a wide variety of meaningful
professional development opportunities that will be conducted throughout the metropolitan
Columbus, Ohio and Franklin County area.  The Elementary School students will return to
school at their regularly scheduled starting time of 9:30 a.m. on Monday, October 23, 2006.  

Quarterly Assessments to be used to chart student progress in
Math and Reading
 

     The district will utilize Quarterly Assessments in Math and Reading at the end of each
grading period to determine the progress of students.  Teachers will utilize the data to provide
appropriate intervention strategies to the students so they can master the objectives on the
Assessment.  The 1st Quarter Assessments for Math and Reading will be administered to all
1st through 5th grade students beginning on Monday, October 30, 2006, and ending on
Thursday, November 2, 2006.  Kindergarten students will not take this Assessment.  Parent
reports will be sent home that will indicate the success levels for students on the
Assessments.

Dominie Assessments will be used to organize LACES Reading
Groups for the 2nd grading period
     
     The district uses the results from the Dominie Assessments to organize the Literacy
Across Columbus Elementary Schools (LACES) Reading Groups for each grading period.  All
Kindergarten through 5th grade students at the CAEC Elementary School will be
administered the Full Battery of the Dominie Assessments beginning on Monday, October 30,
2006, and ending on Monday, November 6, 2006.  If you have questions and/or concerns
regarding the Dominie Assessment results for your student or your student’s LACES Reading
Group placement for the 2nd grading period, please contact your student’s Reading Group
teacher or one of the Reading/Math Safety Net teachers: Mama Patricia Yates and Mama
Tammy Townsend-Milbry.
             
Important Reminders…

•        Two “Parent Conference Days” will be conducted in November 2006 for Elementary
School parents:  Tuesday, November 14, 2006, and Thursday, November 16, 2006, from 4:00
p.m. until 7:30 p.m.  Parents will be required to schedule a 15-minute conference with their
student’s teacher on one of the Parent Conference Days.  A sign-up form to schedule the
conference will be sent home to parents via the U.S. Mail.  Parents will be expected to list their
1st, 2nd and 3rd choices for a conference period on the form.

•        Parents must attend on Parent Conference Day in order to receive their student’s
progress report for the 1st grading period.  The report will not be sent home.
